Privacy Policy

Your privacy is important to us. This policy describes how CloseClear collects, uses, and protects information in connection with this website and the CloseClear application. Please read it carefully.

1. Who We Are and the Roles We Play

CloseClear is operated by DTMU LLC, a Delaware limited liability company with its principal office in Texas, doing business as CloseClear. We handle information in two distinct roles, and your rights depend on which one applies.

For this website and for people who request a demo or contact us, we decide how information is used. Privacy laws call this being a "controller" or a "business".

For information inside the CloseClear application, the situation is different. Customer organizations upload their own loan pipeline data, which can include property addresses, loan reference numbers, and borrower contact details. That information belongs to the customer organization. We process it only on that organization's instructions to provide the service, in the role privacy laws call a "processor" or "service provider". If you are a borrower whose information appears in a lender's pipeline, your relationship is with that lender, and requests about your information should go to them; we support our customers in honoring those requests.

2. Information We Collect

  • Through this website: what you submit in the demo request form (name, work email, company, role, and pipeline details) and standard server logs (IP address, browser type, pages requested). This site does not use advertising or cross-site tracking cookies.
  • Application accounts: name, work email, role, and sign-in records including IP address, kept for security and audit purposes.
  • Customer content: the pipeline and property information a customer organization uploads or connects, which may include property addresses, loan reference data, and borrower names and contact details, along with the exposure results, reviews, notes, and reports the application produces from it.
  • Inspection data: when an inspection is ordered, the assigned field contractor submits photographs and form data, including device GPS coordinates used to verify the inspection happened at the property.
  • Support and correspondence: what you send us when you write to us.

3. How We Use Information

  • To provide the service: matching customer pipelines against publicly declared disaster and hazard information, generating alerts, reviews, reports, and certificates according to each organization's configuration.
  • To operate securely: authentication, access control, rate limiting, fraud and abuse prevention, and an append-only audit trail built for regulated customers.
  • To communicate: transactional email such as invitations, password resets, alert notifications, and inspection reports, plus responses to inquiries.
  • To improve reliability: error monitoring, uptime monitoring, and aggregate usage patterns.

We do not sell personal information, and we do not share it for cross-context behavioral advertising. We do not use customer content to train machine learning models.

4. Property Lookups Sent to Public Services

To locate a property precisely, the application may send the property address or its coordinates to public and government mapping services, including the U.S. Census Bureau geocoder, FEMA map services, and the OpenStreetMap Nominatim and Photon geocoding services, and, where enabled, the U.S. Postal Service address API. Only the address or coordinate is sent for these lookups; borrower names and loan details are not included. These services receive that query under their own terms.

5. Service Providers We Rely On

We use a small set of infrastructure providers to run the service. Each receives only what its function requires and is bound to process it only for us:

  • Railway (application hosting and processing)
  • Supabase (primary database hosting)
  • Cloudflare (network services and file storage, including inspection photos and reports)
  • Vercel (hosting for this website)
  • Resend (transactional email delivery)
  • Sentry (error monitoring) and Better Stack (uptime monitoring)
  • Google (sign-in for our internal operators)
  • Stripe (payment processing, when billing applies; card details go to Stripe and are never stored by us)
  • Mapbox (map rendering)

6. Financial Privacy (GLBA)

Our customers are financial institutions. Where customer content includes nonpublic personal information subject to the Gramm-Leach-Bliley Act, we act as the customer's service provider: we use that information only to perform the services under our agreement with the customer, we do not reuse or redisclose it except as that agreement and the law permit, and we maintain safeguards designed to protect it consistent with the Safeguards Rule.

7. How We Protect Information

Information is encrypted in transit. Each customer organization's data is isolated with database-level row security in addition to application controls. Access is invite-only with role-based permissions, and administrative actions are recorded in an append-only audit log. No system is perfectly secure, but the service is built and operated for a regulated industry, and if a breach affecting your information occurs we will notify affected customers without undue delay consistent with applicable law.

The service is hosted and operated in the United States, and information you provide is stored and processed there. If you access the service from outside the United States, you understand that your information will be transferred to and handled in the United States, where privacy laws may differ from those in your location.

8. Retention and Deletion

We keep customer content for the life of the customer agreement and delete or return it on termination, subject to legal retention duties and audit records we are required or contractually committed to keep. Demo environments are temporary by design and are deleted automatically when the demo session ends. Website inquiries are kept only as long as needed to respond and follow up.

9. Your Privacy Rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information we hold about you, including under the California Consumer Privacy Act and similar state laws. To exercise a right, email hello@closeclear.ai; we will verify your request and respond within the time the applicable law requires, and we will not treat you differently for exercising a right.

If your information is in a customer organization's pipeline data, we will refer your request to that organization and assist them in responding, because they, not we, control that data.

10. Children's Privacy

The service is a business tool for mortgage professionals and is not directed to anyone under 18. We do not knowingly collect information from children.

11. Changes to This Policy

If we change this policy in a material way, we will update the effective date at the top of this page and, for application customers, give notice through the application or by email before the change takes effect. We encourage you to review this page periodically.
